SOURCING FORCE TALENTS · BME CONSULTING

Supplier onboarding checklist. Prepare your freelancer’s client entry.

Supplier onboarding brings a service purchase into a client’s internal process. UK buyers often say supplier onboarding; US buyers use vendor onboarding. This guide concerns purchasing administration, not website search optimisation.

TALENTS PRACTICAL GUIDE

What does onboarding a freelancer with a client mean?

It prepares supplier and assignment information for Procurement and Finance. Where the client wants a common entity, BME coordinates purchases from specialists already selected and brings their administration together. The process needs a correct legal entity, usable service brief, appropriate evidence, approvals and invoicing references. It does not automatically determine employment or tax status.

01 · PREPARING YOUR DECISION

Identify what the client actually requires.

Ask which process must be used: vendor creation, purchasing through an existing approved entity, service agreement or purchase order. These steps are not interchangeable. An operationally approved need may still require Procurement approval or an order reference. Identify outstanding decisions before setting a start date. Do not treat a completed supplier form as permission to begin the service.

Prepare expertise, legal structure, countries, outputs and preferred date. Identify who accepts the work and what information accompanies the invoice. BME’s commercial coordination can bring entrusted purchases into a common relationship without substituting another specialist for the one chosen. For UK or US work, add client entity and actual work location so local requirements can be reviewed.

02 · PREPARING YOUR DECISION

Connect documents with the provider and assignment.

Required evidence depends on structure, country and activity. Present known client requests and prepare review with BME. Document follow-up uses Vigilegal integrated into Sourcing Force by API. Keep the dossier connected to the provider and service, with relevant dates. A US tax form, UK off-payroll assessment and French vigilance certificate must not be treated as interchangeable onboarding evidence.

A public form is not the place for complete confidential contracts, identity documents, tax identifiers or bank data. Begin with a non-confidential summary. The team specifies the evidence and suitable transmission channel. The checker can highlight declared gaps but does not inspect documents or private records. Collection and verification should remain separate steps with identified responsibility.

03 · PREPARING YOUR DECISION

Prepare the order and invoice together.

Consolidated invoicing retains useful reconciliation information: assignment, period, reference and approval. Explain Finance requirements early. For several specialists, distinguish services so commitments remain clear even when supplier administration is grouped. Confirm how currency, expenses and applicable tax information will be handled for the actual entities rather than assuming one universal invoice format.

BME states onboarding within 24 hours. This is distinct from contract, purchase-order and actual-start approval. The administrative commission is 3–8% of service value, depending on volume and client terms. The proposal confirms conditions for entrusted purchases. There is no minimum commercial enquiry value, but the dossier and proposed route still require review and agreement.

YOUR QUESTIONS

Your practical questions.

Does supplier onboarding mean the assignment can start?

It prepares supplier processing, while the start also depends on service agreements, orders and required approvals. BME states onboarding within 24 hours; this does not replace other decisions or country-specific reviews. Share dates and approvals already available to prepare an understandable timetable. The public enquiry or completion of a vendor record does not automatically authorise system access, on-site work or the actual service.

Can a freelancer contact BME about a client’s onboarding requirement?

Yes. Present an assignment discussed with a client that requires an approved supplier route. Give the client business, expertise, countries and known requirements. The review involves the appropriate purchasing contacts. The first message identifies context; commitments and documents are prepared with the parties later. Keep tax, banking and confidential project evidence outside the public form and use the private channel indicated for detailed dossier preparation.

Must we change specialist to use one supplier?

Talents starts with the specialists your business has already selected. BME reviews entrusted purchases, agreements, administration and invoicing. Present the professional and outputs to prepare the process. The team examines the assignment and dossier and does not recruit or shortlist profiles. The contracting route still needs agreed conditions and relevant local review; retaining a selected person does not automatically approve every possible engagement structure.
